Who we are

AG Sports Therapy, Massage & Rehab Ltd ("we", "us", "our") provides sports therapy, massage, acupuncture, and rehabilitation services from our clinics in Redditch and Bromsgrove. Information we collect

We collect personal information when you:

• Use our contact form — your name, email address, contact number, your message, any booking preferences you provide (preferred clinic, therapist, treatment, and date/time), any of our collaborations you belong to, and how you heard about us.
• Contact us directly — by phone, email, WhatsApp, or social media, we receive the details you choose to share.
• Attend appointments — we keep records needed to treat you safely, which may include relevant health information you share with your therapist. As health information is special category data, we handle it with particular care.
• Browse our site — with your consent, analytics cookies tell us how the site is used (see our Cookie Policy).

How we use your information

We use your information to:

• respond to enquiries and arrange appointments (necessary to take steps towards providing our services);
• provide safe, appropriate treatment and keep accurate treatment records (for health data, we rely on your explicit consent and/or the provision of health care under UK GDPR Article 9);
• administer cancellations and payments in line with our cancellation policy (legitimate interests);
• protect our contact form from automated spam and abuse (legitimate interests);
• understand how our website is used so we can improve it (consent, via optional analytics cookies).

We do not sell your personal information or use it for third-party marketing.

Enquiry statistics

When you send an enquiry, we also save a second, short record of what was asked for. We use it to see what people are asking for across all three clinics, so we can staff them and run them well, and to decide where to advertise and which treatments to promote. It is kept separately from your enquiry and holds none of your contact details.

This record holds:

• the treatment, session length and any add-on you asked about;
• which clinic and which therapist you said you would prefer;
• whether you gave us a preferred date and time;
• how long the form took to fill in, and roughly how long your message was — not the message itself;
• the date and the hour you sent it, not the exact minute;
• how you heard about us, and which of our collaborations you named, if any;
• the website or advert you came to us from, where there was one.

We only ever look at it as totals for whole months, and any number smaller than three is hidden, so it never shows a single enquiry.

It does not hold your name, your email address, your phone number, or anything you wrote in your message. There is nothing in this record that ties it back to your enquiry, and we do not try to match the two up.

We want to be straight with you, though: we do not call it anonymous. On a quiet day, a clinic and a therapist and a treatment together could still point to one person. So we treat it as your personal information and protect it the same way as everything else on this page.

Our lawful basis for keeping these records is our legitimate interests — understanding what people ask us for, so we can run the clinics properly. You can object at any time using the contact details above, and you do not have to give a reason. We keep them for three years (36 months), which lets us compare one year against another.

Who we share it with

We share information only with service providers who help us run the business, under appropriate safeguards:

• Email delivery — contact form submissions are sent to us via our email provider (Resend).
• Google — Maps (clinic maps), the Places API (to display our public Google reviews), and, with your consent, Analytics.
• Enquiry statistics — the record described above is held in a database run for us by Neon, on servers in London.

Some providers may process data outside the UK; where they do, transfers are protected by recognised safeguards such as the UK's adequacy regulations or standard contractual clauses. We may also disclose information where required by law.

How long we keep it

Enquiry details are kept only as long as needed to handle your enquiry and any follow-up. Treatment records are retained in line with professional guidance for healthcare records — typically 8 years from your last appointment (or, for children, until their 25th birthday). Analytics data is retained according to Google Analytics settings. The enquiry statistics described above are kept for three years (36 months).

Your rights

Under UK data protection law, you have the right to:

• access the personal information we hold about you;
• ask us to correct inaccurate information;
• ask us to delete your information (in certain circumstances);
• restrict or object to our processing (in certain circumstances);
• data portability;
• withdraw consent at any time where we rely on consent (for example, analytics cookies).

To exercise any of these rights, contact us using the details above. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Security

We take reasonable technical and organisational measures to protect your information, including limiting access to those who need it and using reputable providers with appropriate security standards.

Changes to this policy

We may update this policy from time to time. Any updates will be posted on this page with a revised "last updated" date.
